Located in Wisconsin, on the shores of Lake
Superior, you will find the city of Superior
and the 23rd largest school
district in the state. Serving roughly
5,000 students, the School District of
Superior has eight school buildings
comprised of 6 elementary schools, 1 middle
school, and 1 high school. With
professional and support staff members
totaling almost 750, the SubFinder system
and SubPay™ have become integral
components in the top-notch education that
the School District of Superior is
well-known for.
The School District of Superior has been a
CRS customer since December of 1996. Verna
Vendela, SubFinder Operator since 1996,
recalls life before the SubFinder system: |
“When I first started in the substitute teacher
calling position I thought to myself that I would be
jumping out of this position as soon as I can. Then
the district sent me to a CIMS (payroll) conference
with our IT Director; we stopped by the CRS booth
and the rest is history!”
In 1996, the School District of Superior purchased
SubFinder, which at that time was the basic
telephone call-out system. Over the years, Superior
went on to utilize SubCast, purchase SubPay, and
more recently convert to the SubFinder ASP solution.
The school district made the decision to add SubPay
in 2001 after growing frustrated with manual
calculations and recurring mistakes. The district
was in need of a solution to assist them in
calculating and converting their substitute pay
automatically.
“Our payroll report used to be typed in three times.
It would then be typed into the payroll program to
pay the substitutes and take the sick days away from
the teachers. All of these manual entries caused
many mistakes. Now with the help of SubCast,
reports are automatically mailed out daily to site
secretaries to make any necessary changes. Once the
substitute job information is verified, all I have
do is export all of the information to our payroll
system,” explains Verna.
By utilizing those unique features of SubFinder,
SubCast and Data Exchange Pro, as well as SubPay,
the School District of Superior has made the
substitute management process effortless! The School
District of Superior is one of the many districts
that take advantage of the many of CRS products and

their personnel and payroll departments.
Representatives of the School District of Superior
are also regular attendees of the Annual User Group
Conferences, and will be attending the 2008 Annual
User Group Conference this October in Las Vegas,
“Not only will I be attending the 2008 Annual User
Group, but so will our back-up SubFinder Operator,
Superintendent, and Assistant Superintendent! I
have only missed one or two Annual User Groups. I
learn a lot of tricks just talking to other
SubFinder Operators and Users. The sessions and
presenters are great; I learn something new every
year. I suggest that any SubFinder User attend the
Annual User Group!”

Help! I Forget How to Voice Record Names

You may recall the initial setup of your SubFinder
system involved voice recording specific data such
as job positions, site names, absence reasons, etc.
for the telephone portion of the system. Although
you may not need to add voice recordings on a
regular basis, the process for editing and deleting
voice files is performed in a similar manner. This
How To may be useful during the summer months
when adding new employees, or removing those
employees that no longer work for your organization.
How to Access the Voicing Menu
The Voicing Menu is accessed via the Call
Processor:

Select the line you wish to use for recording
purposes by left clicking on the actual line number
within the Call Processor window. If you are a
SubFinder ASP customer, we recommend that you use
Line 1. If you have a box on site, we recommend that
you select the last outgoing line.

Once the line has been selected, click on the Line menu option at the top of the Call
Processor window. When the drop down menu appears,
click on Options.

Within the Line Options screen, change the
Line Type from Outgoing to Record Names, and
then click OK.

Using a telephone convenient to
a monitor
displaying the Call Processor, call the phone number
associated with the line selected in step #1 above.
The Record Names program screen will appear.
How to Make a Recording
-
Select the Name Type
by clicking on
the appropriate radio button.

If you have selected a type that has a list
of recordable items, make the appropriate choice in
the Name Selection Criteria box. If the goal
is to record all unrecorded items, choose the Names
Missing Recordings.

Choose the desired name from the Display Area
and click Record. Once you have voiced the
selected information, click the Stop Recording
button. SubFinder will replay the recording for your
verification.

When you’re done recording, click
Close.
Remember to change the Line Type back to
Outgoing.
Important Reminder!
Anytime a name, job position, site, reason, etc. is
changed or added to SubFinder, the name must be
recorded by following these steps. If you have any

your favorite cheesecake to eat…AND to make?
I would have to say chocolate chip cheesecake on
both accounts – but I have not found a cheesecake
yet that I have not enjoyed making (or tasting).
What does being an Account Specialist mean to you?
Being an Account Specialist means doing my best to
make sure our customers’ needs are met and forming
friendships with customers that go beyond
problem-solving and answering questions.
