Welcome to the May issue of CRS InTouch Online. Well we made it, it's summer time! In preparation for summer we just want to remind you to schedule your Rollover with your Account Specialist as soon as possible, even if you plan on scheduling it for a time closer to the beginning of the new school year; the calendar is filling up fast.

Good-Bye 2006-2007,

Let’s Get Ready For 2007-2008!

 

Can you believe another school year is already coming to an end? That means it’s time to perform your SubFinder system Rollover for the new school year. Before you get started with the Rollover process, here is some important information that you will want to consider:

 

ü  If you have not already scheduled your Rollover, please call your Account Specialist as soon as possible.

ü  Be certain all employees, substitutes, job positions, job position groups, sites, site groups and calendar tracks that you wish to purge are marked inactive.  If an employee or substitute’s record is only marked restricted, it will not be purged.

ü  Make sure all inactive items have no ‘active’ records attached to them. Refer to the Complete Purging Checklist for tips on inactivating your data.

ü  Inform your staff of Rollover date & time, as the system (including WebConnect & WebConnect Pro) will be unavailable during this time.

ü  If purging jobs up to a certain date, please remember the job numbers will not begin at one, they will continue from the last job number currently in your system.

ü  Have your job purge date in mind prior to your Rollover appointment.

ü  SubPay customers, please have the start & end dates of your new school in mind prior to your Rollover appointment.

ü  For customers currently utilizing Leave Control, keep in mind that Leave Control accrual is not part of the Rollover process.  We suggest running your annual Leave accrual after the Rollover is complete.

ü  If you are currently using a tape backup system, be sure to purchase new tapes for the upcoming school year prior to Rollover date.  You may want to consider replacing your tape backup with an external hard drive for data backup as it is more user-friendly, reliable and cost efficient.  Speak with your Account Specialist for more details.

ü  NOTE: There is no need to run end of the year reports if your district does not require hard copies.  We will provide you with a shortcut for the last year reports, which then can be conveniently placed on your desktop for all future reviewing.

Now, we encourage you to just sit back, relax, and ponder on how quickly this school year has passed us by! We hope your school year was a success; we eagerly look forward to working with you throughout the upcoming 2007-2008 school year ----- and beyond!
